We are now recruiting for a Resource Planning & Insights Manager to join our Brand Homes Operational team. This role will report directly to our Group Brand Homes Operations Manager. This is an exciting and brand new role which will be offered full-time/permanent and will operate on a hybrid basis between our core brand homes sites across Glengoyne (Glasgow), Rosebank (Falkirk) and Edinburgh Gin (Edinburgh) and remote home working. The successful candidate must therefore have flexibility in their working arrangements and ideally live within a commutable distance to our sites across the Central Belt in Scotland. Candidates must also have current eligibility to live and work in the UK as sponsorship is not possible for this opportunity.

As Resource Planning & Insight Manager your role will be to partner and fully support the Brand Homes Management team through your planning expertise, commercial acumen and analytical expertise. You will be a key component of the Brand Homes leadership team ensuring that tactical and strategic decisions are grounded in data-based findings, insights and recommendations to secure the best possible outcomes in relation to employee satisfaction, visitor delight and financial delivery.

You will play a key role in implementing new systems within the Brand Homes, including owning the day to day delivery and evolved development of our Time and Attendance workforce management system and a suite of Dynamics 365 CRM and financial management systems. It will be important that you utilise all of these systems to deliver reporting and actionable management information to colleagues.

You will execute a planning process which utilises business intelligence to ensure optimal timing of activities and staffing resources to meet visitor demands whilst managing staffing costs and the most effective deployment of the annualised hours budget across each year.

This is a truly unique role and one which is very operationally focussed in terms of scheduling and forecasting hours against visitor centre numbers and projections, with strong commercial insight and MI. It’s very much about tourism, visitor numbers, spend and scheduling support.

Purpose of the role

To assist in the day-to-day management of the Food & Beverage offer at Robert Burns Birthplace Museum, to ensure that all targets are met, and all visitors receive the highest level of visitor experience standards.

Key Responsibilities
• Assist with the development of the Menu Cycle/Specification
• Contribute to food production as per the Menu Cycle/Specification and event Food Production (corporate, hospitality, meetings etc.)

JOB PURPOSE
Brodick Castle is an idyllic island destination and visitor attraction on the Isle of Arran. As one of the Visitor Services team within the castle, you’ll ensure that all visitors receive an excellent visitor experience and leave feeling inspired by this stunning property and its history.
Specifically, to ensure the smooth and safe operations in Catering in one of the two facilities on the site, delivering excellent customer service along with preparing and serving hot and cold food and drinks and helping to make the property the best possible place to visit and work.

REQUIRED QUALIFICATIONS, SKILLS, EXPERIENCE & KNOWLEDGE
Qualifications
• NVQ3/BTEC/City & Guilds/HND/Degree or equivalent experience;
• Ability to work ‘hands-on’ – including in the kitchen – alongside the team members, demonstrating the customer service skills required of all staff.
• Experience in a Food & Beverage or Hospitality environment
• Hold a valid and recognised SQA Licensing Qualification e.g. Scottish Personal License Holder’s Certificate and Personal License or willingness to train for such;

CONTEXT
Brodie Castle is set within a 75 acre “policies” estate, it is the ancestral home of the Brodies of Brodie and consists of a number of listed buildings including the main 16th century Z plan Castle, stables, walled garden, gate houses and gardeners bothy, as well as a number of estate houses currently used as holiday lets. The Castle consists of dressed rooms used as a guided tour visitor experience and houses a collection worth over £6m. Within the Castle is the main catering outlet and retail facility as well as housing the main estate offices. There is also the Lairds wing, a luxury 7 bedroom holiday let within the Castle.

The wider estate consists of a nationally significant designed landscape with Victorian Shrubbery, tree lined avenues, commercial forestry, agricultural land and mature mixed woodlands surrounding a manmade lake. Within the old walled garden is a Playful Garden, consisting of imaginative play area, formal gardens and the national daffodil collection. This area is served with separate catering and retail facilities.

KEY PURPOSE
The Visitor Services Supervisor – Weddings & Hospitality will develop and drive hospitality in its corporate and commercial capacity (weddings, private hire and corporate events).

The Visitor Services Supervisor plays a pivotal role ensuring that the management objectives are translated into pragmatic actions by staff, and, with delegated responsibility for functions and events, is the “face” of the Trust to visitors and corporate/private-hire clients. As such, they directly influence public perceptions of the Trust and is crucial to developing and maintaining the property’s local/national reputation.

The successful candidate will be expected to work long and unsociable hours on occasion to achieve tough financial objectives. They will be outgoing, assertive, and approachable with a flair for innovative ideas.

KEY RESPONSIBILITIES

• Hospitality & Event Management:
o Develop and promote – in conjunction with the Visitor Services Manager – Weddings, Corporate/private-hire business to contribute to the property’s financial sustainability.
o Undertake direct and indirect interaction with couples, corporate/private-hire clients, and those attending events; ensuring that their needs are anticipated and met as part of the property’s drive for excellence in customer care.
o Ensure that efficient arrangements are made for the property for weddings, events, and corporate/private hire.
o Coordinate, supervise, and personally participate in the staffing of weddings, corporate/private-hire functions and events, and with the advice and support of specialist/advisory staff and volunteers.
o To act as Duty Manager on a shared basis, which will involve weekend and evening work.

• Planning and operational delivery:
o In conjunction with the Operations Manager and VSM, create and deliver a strategy to achieve specific financial and reputational objectives.
o Maintain and record all communications pertaining to all functions and events.
o Co-ordinating with all departments to ensure an efficient delivery of customer services during functions and events
o Execute the functions and events in conjunction with licensing laws for Public Entertainment Licensing and Alcohol Licensing. This will also include evaluating and creating risk assessments and insurance documents.
o Ensure that access arrangements to the Castle (in particular) are coordinated with the Visitor Services Manager – Visitor Experience & Collections Care Assistant, and are consistent with the Trust’s policies and procedures for collections conservation and management, and buildings repair and maintenance on the advice of its specialists (e.g. Conservators, Curators, Building Surveyors).

• People management:
o Liaise with new and existing stakeholders and initiate partnerships to increase awareness of our heritage.
o Build relationships of trust for all clients from inception to delivery to provide exceptional customer service.
o Supervise services provided by third parties (e.g. suppliers, contractors, franchisees) such that they adhere to Trust policy and standards and ensures the safety of staff, volunteers, visitors and others.
o Deputise as Duty Manager

• Business Management & Administration:
o Create and support others’ financial/commercial initiatives that ensure the property’s drive for sustainability.
o Ensure that the administration activities for Weddings, Corporate/private-hire business and Events at the property are carried out to Trust procedures, including: all relevant reporting relating to staff, visitors, health and safety and finances; and general correspondence/record-keeping etc.

• Health, Safety & Environmental (HS&E) Management:
o Demonstrate responsibility and accountability for H&S relating to Weddings, Corporate/private-hire business and Events, embedding the Trust’s “Safe System of Work” and through active management of procedures (Risk Assessment, CoSHH, HACCP, RIDDOR, reporting), people (staff, volunteers, visitors), tools/equipment, and the site itself.

JOB PURPOSE

A visible and senior management role where, in addition to the general operations management of the property in pursuit of their aims and objectives, the post holder will be responsible for the development of the property operating business planning process (working with the Property teams and Business Manager for the region who oversees this process) and utilising key sources of information and needs (e.g. conservation management plan; visitor/market research) to present effective and accountable business plans which underpin the properties financial performances, visitor experience, conservation delivery, reputation and maintenance. The post is based at Brodie Castle and reports to the General Manager for the Highlands and Islands Region.

HIGHLANDS AND ISLANDS REGIONAL STRUCTURE

The Operations Manager will be constantly and consistently leading the development of visitor services excellence, commercial and enterprising activity, and change, ensuring place and content is engaging through interpretation and services and is the general custodian of its conservation and engagement obligations.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Enterprise and trading – The business leader for the property, working with the support of the property managers and regional management team will plan and deliver innovative product and sales opportunities, integrated with the heritage site and particular visitor profile for that property / market.

People Management – Coaches and mentors property teams and staff who directly report to the post to ensure they are fully equipped and motivated to undertake their duties to the required Trust standards, policies, rules, values, delegated authorities, and objectives. S/he also plans for succession amongst staff and levels of responsibilities and other key posts within the property.

Promoting Heritage – Supports and coaches property staff to develop and promote their properties use and potential as a life-long learning resource, in line with the Trust’s ‘Education Principles’ and as part of its charitable aims (Access, Learning and Enjoyment).

Marketing, Membership and Supporter Development – drives business development and marketing of the property to maximise income generation. Working as part of a coordinated regional team and planning agenda, s/he will work with Customer and Cause colleagues centrally to optimise the visibility and promotion of the property.

Financial Management, Compliance and Scheme of Delegation – Responsible for budget preparation and control. Working closely with the Business Manager to devise effective plans, objectives and solutions and monitor performance (financial, project delivery, initiatives). S/he makes any corrective action required and ensures that the property remains within budget and acts within delegated financial authorities, wider schemes of delegation and adheres to Trust rules, policies, and procedures.

Job purpose
The specific purpose of the role is to support the Director of Customer & Cause in co-ordinating the work of the department. • You will work closely with the sites Visitor Services teams and will be responsible for the visitor experience on a day-to-day basis when they are not present.
• Create a culture of ‘exceptional service, every time’. Delivering high standards of delivery and a consistently warm welcome on every occasion.
• You will ensure high standards of presentation across the properties; you may have delegated tasks within other departments and you will understand and help deliver your overall property business plan.
• Taking responsibility for opening and closing and security of buildings as well as emergency procedure implementation, duty management and providing relief cover as required
• Staff and volunteers – (recruitment, induction, development, motivation, performance management) such that they are fully equipped and motivated to undertake their duties to the required Trust standards and that staffing budgets are adhered to;
• Instil a Health & Safety culture across the property, ensuring the team work within the property’s ‘Safe System of Work’ to reduce risk of incidents and accidents to volunteers, employees and visitors.
• Budgets – (setting, phasing, monitoring, reporting, pro-active and re-active adjustments together with the Operations Manager) to ensure that the finances are sustainable within the context of the wider property budgets;

Key skills and experience required:

• Direct experience of managing multi-strand visitor/commercial services in a hospitality, heritage or tourist-attraction context;
• Catering skills and knowledge
• Excellent leadership and influencing skills;
• Excellent understanding of report writing and financial management;
• Well developed time management and organisation skills.
• A full, clean driving license for driving the UK essential.

GALLERY ATTENDANT SHIFT (BAND 8)
FULL-TIME, FIXED TERM UNTIL FEB 2023
The main purpose of the Security & Visitor Service within the Galleries is to provide security for the displays and to welcome, assist and supervise visitors.

The holder of the post is responsible to the Shift Supervisor of the Gallery. The main purpose of the Gallery Attendant is to provide security and help to visitors to the Galleries.

KEY RESPONSIBILITIES:

1. Supervision of members of the public to ensure the safety of the collections and regulation of those failing to comply with the Gallery’s conditions of entry.

2. Providing a high standard of visitor care, maintaining a professional front and being the public face of the National Galleries. Welcoming visitors, answering queries and orientation.

3. Staffing fixed duty or access points including searching incoming baggage or containers as necessary.

4. Monitoring fire and security alarm panels, CCTV systems and maintenance of accurate records.

5. Ensuring the safety and security of the collection by visual monitoring and operation of control room equipment.

6. Assistance to the public in emergency situations.

7. Supervision of contractors and tradespeople.

8. Patrolling the galleries in silent hours and dealing effectively and calmly with situations as they arise.

9. Light cleaning and portering duties.

10. Adherence to Health and Safety guidelines.

11. To be proactive in keeping up to date with NGS exhibitions, events and displays and to engage with the public on these, whilst also remaining vigilant.

42 Hours per week including breaks averaged over an 8 week period. Please note that this position involves shift work on a rotating pattern of 2 days on, 2 nights on, 4 days off.

PAY: £20,828 per annum (plus 20% shift and weekend attendance
