Role profile
The purpose of the post is to work in support a wide range of departmental activities to enable the fundraising team to maximise income to V&A Dundee. With specific responsibility for annual giving programmes and assisting with corporate sponsors, fundraising events delivery, database administration, administrative operations of the department, gift administration and mailings. The post holder will also contribute to the development and operation of the membership programme as required.

Working hours will be 37.5 hours per week.

Duties and Responsibilities
Annual Giving Programmes

Assist the Annual Giving and Funding Operations Manager supporting primarily the delivery, promotion and fulfilment of V&A Dundee annual giving programmes and assisting with the development and operation of the membership programme as required.
Assist in the development of and recruitment to various annual giving programmes such as the V&A Dundee Patrons and Design Circle and membership programme
Process and effectively record donations to annual giving programmes
Fulfilment of annual giving programmes benefits (i.e. sending out donor cards etc)
Assist in day-to-day communications and mailings with our donors
Assist in the coordination and delivery of annual giving programme events
Donor and member data processing as required
To assist with applications to memberships and membership fulfilment when required

Corporate Members and Sponsors

Assist Partnerships Manager with the stewardship of corporate members and sponsors, working with the Membership Co-ordinator.
Assist with the communication and delivery of corporate member and sponsor benefits
Draft tailored content for corporate member E- communications and updates to website as required
Assist with corporate member enquiries and administration
Coordination of opening invitations and complimentary tickets to companies

Fundraising Events and Stewardship

Working closely with Annual Giving & Funding Operations Manager

Assist in the co-ordination and delivery of department wide fundraising and stewardship events
Co-ordinate departmental data to submit to organisation wide events mailing lists for openings etc

Fundraising Communications

Preparing e-communications for V&A Dundee donors
Compile data lists supporting event guests lists, invitation mailings, delivery of general events communications and departmental mailings
Contribute to editing and production of publications including supporters’ newsletters
Updating website to maintain donor board and relevant fundraising material

Fundraising Operations

Provide effective administrative support across the department
Responding to telephone and email enquiries, provide outstanding customer service to all fundraising audiences such as donors and members
Day to day CRM data processing and administration of prospect management system
Delivery of Gift Administration process; pledge fulfilment / invoicing where appropriate, banking gifts, recording pledges and gift instalments, preparation of thankyou letters and receipts, processing Gift Aid and keeping all relevant files appropriate for annual audit
Prepare reports on fundraising income / expenditure, activities, and uptake of donor benefits
Administration of charity requests
Any other duties as required by the Director of Philanthropy & Partnerships

Able to work efficiently with data
Numerical skills to facilitate working with financial data.
Excellent planning and organisational skills; prioritising, managing reactive work, balancing multiple requirements and adapting to unexpected situations
Efficient administrative ability and skills to ensure effective operation of the Philanthropy & Partnerships department
Self-motivated but with the ability to work as part of a team
Excellent skills in MS Office, Excel and Outlook and handling of modern office practices and procedures


Experience in a relevant environment (marketing, charity, fundraising, etc)
Principles relating to charitable giving
Relevant legislation (GDPR, TPS, MPS, FoI) relating to use of data
Degree or equivalent qualification


Working with databases in a customer-oriented capacity to fulfil specific operational needs
Experience of relevant environment (marketing, charity, fundraising, membership etc)
Fulfilling customer service role in externally-facing environment, at events and in response to phone and mail enquiries


Processes and procedures for event development and delivery
Editing and writing for external audiences
